Spreadsheets needed to track recruiter performance

The problem

Your ATS is a database.
Your agency needs a system.

Generic tools give you a place to store candidates. They don't enforce your process, track whether anyone is actually acting on time, or tell you which recruiter is closing and which is stalling.

The result: candidates fall through cracks you can't see, clients lose confidence, and every review meeting turns into a spreadsheet archaeology expedition.

Candidates stall — no one knows

A shortlist sits in "Interview Scheduled" for 12 days. No alert fires. The client calls you first.

Recruiter performance is invisible

You can't see who screened 40 candidates last month and who screened 4. The data exists but it's nowhere useful.

Every recruiter runs a different process

Some skip stages. Some use different naming. Audits take hours and onboarding new recruiters takes weeks.

Architecture

Three engines.
One governed system.

Every action in RecruiterView flows through one of three purpose-built engines. Nothing happens outside the system.

Behavior Engine

Deterministic pipelines

Workflow templates define every legal stage transition. Candidates move only through approved paths — no ad-hoc edits, ever. Every transition produces an immutable audit Event.

  • Stage names, order, and transitions are yours to configure
  • One default template or per-client templates
  • Every move logged with actor, timestamp, destination

Time Engine

SLA accountability

Configure SLA durations per stage in hours. Timers start automatically on stage entry. The dashboard shows On Track, At Risk, and Breached — so managers intervene before deadlines are missed.

  • At-risk detection hours before breach
  • Breach trending and historical SLA data
  • Breached count is a hero KPI — not buried in a table

Notification Engine

Automatic handoff alerts

Each stage has a responsible role. When a candidate enters that stage, the right person is alerted automatically — no manual routing, no missed handoffs, no "I didn't know it was mine."

  • Role-based routing: KAM, Manager, Team Lead, Recruiter
  • In-app notification feed per user
  • Zero manual configuration per job or candidate

Capabilities

Everything agencies need.
Nothing they don't.

Built from first principles for the way agencies actually work — not retrofitted from an enterprise HR system built for in-house teams.

Role hierarchy

Six roles. One reporting chain.

Owner → KAM (Key Account Manager) → Manager → Team Lead → Recruiter → Vendor. Each role has scoped permissions, a tailored dashboard, and auto-scoped reports driven by the reporting-line hierarchy you define.

Owner KAM Manager Team Lead Recruiter Vendor

Recruiter reporting

Performance data without the spreadsheet.

Period-over-period reports for screenings, submissions, interviews, offers, placements, and rejections. Role-scoped automatically — owners see all, managers see their team, team leads see their reportees.

Vendor portal

External partners. Zero data leakage.

Vendor users submit candidates for approved jobs and move them through permitted stages — isolated from your internal team, other clients, and other vendors. Full access control, no shared logins, no workarounds.

Audit log

Immutable. Tamper-proof. Always there.

Every stage transition creates an Event record that can't be edited or deleted — not even by your account owner. Know who moved a candidate, when, and from which stage. Client disputes and compliance reviews become trivial.

Multi-tenant

Your data stays yours. Always.

Each agency is a fully isolated tenant. Data never crosses org boundaries. You can invite your team, configure roles, and run multiple client accounts — all under complete isolation by design, not by policy.

Onboarding

Live in 30 minutes. No consultant required.

A guided setup wizard walks your Owner through workflow creation, SLA configuration, client setup, team structure, and reporting lines. Role-specific checklists keep every member on track after launch.

What agency leaders say

"We used to manage SLA compliance with a shared calendar and a lot of hope. Now the dashboard tells me exactly which candidates are at risk before the deadline, not after. Our breach rate dropped 60% in 30 days."

RT

Rachel T.

Managing Director, TalentFirst

"The recruiter performance reports changed how I run one-to-ones. I walk in knowing the numbers — screenings, submissions, placements — by period, per person. No prep, no spreadsheet pulls."

DM

David M.

Operations Lead, NexHire

"We work with 4 vendor partners and client confidentiality is non-negotiable. The vendor portal isolation was the reason we switched. They submit candidates, they see their candidates. Nothing else."

FAQ

Common questions

Everything you need before switching your agency's ATS.

Have another question → hello@getrecruiterview.com
What is RecruiterView and who is it for?

RecruiterView is a recruiting operations platform built for staffing and recruitment agencies. It enforces deterministic candidate pipelines, tracks SLA accountability per stage, and gives owners and managers real-time recruiter performance data — without spreadsheets. It is not an in-house HR tool.

How is this different from Greenhouse, Lever, or Workable?

Those tools are built for in-house HR teams. RecruiterView is built for agencies placing candidates across multiple clients. Key differences: client-scoped workflow templates, a vendor portal with full data isolation, per-stage SLA enforcement, and a role hierarchy (Owner → KAM → Manager → Team Lead → Recruiter → Vendor) that mirrors how agencies are actually structured.

How does SLA tracking work in practice?

Each pipeline stage has a configurable SLA in hours. The moment a candidate enters the stage, a timer starts automatically. The dashboard shows candidates as On Track, At Risk, or Breached. Breached count is a prominent KPI — not buried in a table you have to go looking for.

Can I have different pipelines for different clients?

Yes. You can create global workflow templates that apply to all jobs, or client-scoped templates unique to one client. A tech hiring pipeline and an executive search pipeline can have completely different stages, SLA durations, and transition rules — they coexist without conflict.

What does the vendor portal include?

Vendor-role users submit candidates for jobs where outsourcing is enabled, and move those candidates through permitted stages. They cannot see your other clients, other vendors' candidates, or any internal team data. Access is enforced at the data layer — not just hidden in the UI.

How long does setup take?

A guided onboarding wizard takes your Owner through workflow creation, SLA timers, client and team setup, and reporting lines. Most agencies are fully operational in 30–60 minutes. No implementation consultant. No CSV import ritual. No 6-week rollout.
